Description

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Maintain Excel database of disbursements, income and balances for Ecumenical Relations budget, including delegate expenses and quarterly contributions (approximately $200,000 through annual budget and $150,000 in designated funds) and provide monthly Excel report for all accounts;

 

  • Make travel arrangements (flight, housing, ground transportation, etc.) create files/travel folders and maintain all arrangements for staff travel (agenda, housing, transportation, all materials required for meeting/event);

 

  • Maintain, create and modify calendar and make meeting arrangements including meeting space, and arrangements for participant transportation, meals and housing when necessary;

 

  • Prepare check requests and reimbursements for delegates to ecumenical meetings;

 

  • Process quarterly and annual ecumenical contributions;

 

  • Assist in preparations for annual meeting of the Committee on Ecumenical and Interfaith Relations;

 

  • Assist in preparations for General Synod including arrangements for the Ecumenical and Interfaith Dinner and the display booth in the exhibit hall;

 

  • Process registrations and all related arrangement for General Synod Ecumenical delegates;

 

  • Create, modify and maintain constituency database for Ecumenical and Conference committees, commissions and dialogue teams;

 

  • Process American Express accounts monthly;

 

  • Create maintain and provide financial spreadsheets and reports as needed;

 

  • Provide support for meetings, including minute taking and ensuring set-up on day of the meeting or event;

 

  • Assist with preparations for General Synod, an offsite (usually out of state) nearly week long church gathering that takes place every other year;  

 

  • Create and maintain databases, mailing lists, email lists, filing systems, and prepare and process in-coming and out-going mail;

 

  • Contribute to the effectiveness of work teams by fostering a spirit of cooperation and accomplishing assigned tasks;

 

  • Develop and maintain professional and courteous relationships with staff, directors, partners and other constituents; serve as a positive role model by exemplifying values which are consistent with the United Church of Christ;

 

  • Assume other duties as assigned.

 

 
Position Requirements

MINIMUM QUALIFICATIONS: To perform this job successfully, an individual must have some planning skills and be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

  • High School Diploma and 3-5 years of work experience in office administration, Associate’s degree preferred;

 

  • Ability to maintain tact, diplomacy, and confidentiality;

 

  • Self-starter, well organized and detailed oriented;

 

  • Excellent written and verbal communication skills with prior experience in minute taking helpful;

 

  • Desire and sensitivity to work in diverse racial, ethnic, cultural and religious settings;

 

  • Demonstrated ability to work collaboratively and collegially, as well as independently;

 

  • Knowledge of the United Church of Christ or willingness to learn about UCC is important.

 

  • Willingness and ability to attend daytime, weekend, and/or evening meetings or events in order to provide support for these meetings or events;

 

  • Proficiency in advanced computer programs such as: PowerPoint, Excel, FileMaker Pro, or other spreadsheet programs and willingness to learn;

 

  • Proficiency in internet use, including webinars, Skype, social media, etc.
