Description

GENERAL PURPOSE OF POSITION:   This position provides administrative support to the Chief Financial Officer (CFO) and the Financial Services department. In addition to typing, filing and scheduling, assists the CFO and others in the department with financial record keeping, calendar management, meeting coordination, and special project work. Also, answers routine correspondence and assembles highly confidential and sensitive information. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Schedules and organizes meetings, travel, and other activities on behalf of the department.
  • Establishes, develops, maintains, and updates filing systems for the CFO and the department. Retrieves information from files when needed.
  • Provides support for other team members by assisting in data entry as required. 
  • Prepares and develops general correspondences and administrative reports.  Reviews for spelling, grammar and layout, making appropriate changes.  Responsible for accuracy and clarity of final version.
  • Opens, sorts, and distributes mail for the department.  Mails accounts payable Checks to vendors; copies checks (accounts receivable) and distributes to respective team members.
  • Forwards 501(c)3 Letters to related entities as requested.    
  • Drafts written responses and/or replies by phone when necessary.
  • Responds to regularly occurring requests for information and financial forms.
  • Maintains supplies inventory by working with others and checking stock to determine inventory levels; anticipating and placing orders for supplies; verifying receipt of supplies.
  • Contributes to departmental goals by accomplishing other related duties as assigned.

 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position.

  • A High School diploma and a minimum of 4 years’ office management experience in financial department.Associate’s degree preferred.

  • Must be a self-starter, able to prioritize work and perform with minimum supervision.

  • Strong attention to detail

  • Personal Effectiveness/Credibility, Thoroughness, Collaboration Skills, Communication Proficiency, Creativity

    Ability to maintain and properly handle confidential or sensitive information.

  • Demonstrated human relations skills to interact effectively and sensitively with all levels of staff.
  • Demonstrated ability to work collaboratively and collegially as well as independently.

  • Proficiency with MS Outlook, Excel Spreadsheets, and Word.
