The Administrative Assistant will play a central role in working with campaign leadership to build and complete a successful capital campaign by coordinating, facilitating, and shaping the implementation of the campaign strategy and annual plans. The incumbent will report to the Senior Major Gifts Officer and serves as a critical member of the Development team to plan and implement an annual activity calendar of fundraising and stewardship activities. Additionally he/she will monitor, support, and enhance the productivity and smooth integration of development functions to meet annual growth targets in contributed revenue, membership, and prospect cultivation. This role  will manage processes and analyze information to achieve results, improve workflow and solve problems. This position will also provide scheduling and planning support for the CC leaders for cultivation and solicitation purposes. There may be after hours and weekend responsibilities for this position that may require extended hours inside or outside of the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  2. Reinforce and positively engage in Opportunity Village’s organizational culture supporting choice and creativity of OVIPs (Opportunity Village Important People) and of staff.
  3. Manage the Campaign staff including scheduling of meetings and all calendaring.
  4. Create and maintain communication platforms for the campaign
  5. Manage the writing and development of capital campaign print and electronic collateral materials and coordinate their design and production to ensure accurate and effective documentation of Campaign participation
  6. Cultivate donor prospects as requested
  7. Oversee/prepare gift agreements for campaign donors
  8. Assist with prospect research
  9. Develop and oversee the stewardship activities of all existing Campaign donors to include appreciation events, cards, coffee table books and special occasion gifts
  10. Provide administrative support for all CC and committee meetings
  11. Assist the Campaign staff with budgeting and revenue projections
  12. Working with the Donor Relations and Data Base Manager, track donations, pledges, payments, thank-you notes and letters, and provide regular financial progress reports to CC leaders and committees
  13. Develop and maintain organizational systems to support the solicitation of major gifts with CC team
  14. Keep detailed records of major donors for Board of Directors and CC staff
  15. Manage the reception desk at Resource Development; greet visitors, answer phones, etc.
  16. With direction from CC staff, identify, record, evaluate and rate prospects resulting in priority donor lists
  17. Assist with special events and donor cultivation events on and off site
  18. Assist in board development activities such as planning retreats, awareness events etc.
  19. In coordination with the Senior Major Gifts Officer and Marketing Director, prepare accurate, accessible and attractive quarterly reports and campaign progress reports for senior managers and board committees
  20. As a member of the Campaign team assist with the establishment of solicitation priorities, manage prospect lists and research, develop and execute targeted cultivation plans, and provide support to staff, board members and volunteers for solicitations
  21. Performs other duties as assigned.
 
Position Requirements

EDUCATION AND EXPERIENCE

  • Required: High School Diploma or equivalent
  • Required: Minimum of five (5) years' experience as an administrative professional, including senior responsibilities, direct experience in a capital campaign a plus
  • Required: Computer literate and must be proficient in Microsoft Office products (i.e. Word, Excel, Outlook and PowerPoint.
  • Experience working with high-level decision makers, trustees, and/or other volunteers
  • Knowledge of prospect management systems
  • Excellent verbal/written communication and presentation skills
