Group and Convention Representative 

Description SUMMARY
Responsible for maintaining group blocks and play a supportive role to the conference center and resort sales department by executing group billing, A/R management, and reporting. Promote all aspects of the property, maintaining high level of customer service skills and standards in quality assurance, internal/external customer interaction, and data reservations management systems. All functions will be performed within the guidelines of the MCNC/River Spirit Casino Resort policies and procedures.

ESSENTIAL DUTIES and RESPONSIBIILTIES
1. Accurately process all group reservations requests, changes, and cancellations received by phone, fax, electronically, or through mail.
2. Perform data input, data sorting, updates, telephone inquiries, or customer transactions, safeguarding customer confidentiality and privacy according to company and department standards.
3. Input group rooming lists using reservations system and/or revise room blocks to maintain the required number of available rooms.
4. Post deposits and payments for group events/hotel accommodations. Ensure accuracy of group's final bill and send to client.
5. Ensure all PMs are finalized and checked out by the end of the month.
6. Set routing and billing as per instructions. Ensure outside vendors services' invoices are forwarded to Finance for payment.
7. Send weekly sales report and prepare month end reports.
8. Ensure all necessary information is received for arriving guest, to facilitate their arrival and comfort prior to and during their stay.
9. Accurately track room(s) blocked, and pick up. Enter and update all rooming lists within 24 hours.
10. Prepare keys/key packets for pre-paid groups.
11. Attend PreCon meetings when required to ensure the group request are accurately handled; attend weekly sales meetings and communicate status of upcoming groups; be aware of any changes that have recently occurred.
12. Develop and maintain positive working relationships with others departments.
13. Perform other duties as assigned.

SUPERVISORY RESPONSIBILITIES
This position does not have Supervisory responsibilities.

EDUCATION
High School Diploma; and/or combination of education & experience.

EXPERIENCE
Minimum of 6 months experience in a hotel reservation department, Call Center environment, or in a related customer service field preferred. MS Office skills required.

 
Gaming License Must obtain and maintain a Gaming License.
