Job Title:  Arab American National Museum Community Events Representative

Employment Status: Full-Time

Job Summary: This position will be responsible for planning, scheduling and coordinating all rental events for the AANM. Additionally, the incumbent will be responsible for researching, developing, and maintaining current and competitive policies, procedures, and rates for the use of AANM spaces by individuals and organizations. This will enable the AANM to create new lines of revenue through facility rentals while providing the community with a flexible space for hosting events, arts and educational programs, exhibits, shows, and receptions.

Essential Duties and Responsibilities:

  • Negotiates, reviews and oversees all contracts for leasing AANM spaces.

  • Maintains and communicates a current schedule of rentals to determine availability of facilities for bookings and ensures there are no conflicting events or dates.

  • Maintains accurate financial records and worked with the Deputy Director and the ACCESS Fiscal Department to provide efficient, timely invoicing of services and reporting of expenses and earned income.

  • Plans and implements the logistics of large and small events, including scheduling; planning menus and themes; ordering and serving food; organizing audiovisual requirements; and setting up and cleaning the facility.

  • Communicates effectively and professionally with clients and co-workers to provide a high-level of customer service.

  • Works independently as well as collaboratively within a team environment.

  • Complies with attendance rules.

  • Researches, develops and maintains current and competitive policies, procedures and rates for the use of the AANM spaces by individuals and organizations.

  • Performs other duties and responsibilities as assigned.

 
Position Requirements

Knowledge, Skills, and Abilities:

Knowledge of:

  • Budgets and capable of tracking expenses accordingly.

  • Event planning

  • Arab culture and cuisine is a plus.

Skill in:

  • Operating standard office equipment and using required software applications, including Microsoft Office.

  • Good communication and math skills.

Ability to:

  • Work on-site at event as needed, nights, weekends and travel required.

  • Partner with other functional areas to accomplish objectives.

  • Communicate effectively, both orally and in writing.

  • Understand and follow written and oral instructions.

  • Establish and maintain effective working relationships at all levels of the organization.

  • Organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment.

Educational/Previous Experience Requirements:

Minimum Degree Required:

  • Bachelor’s Degree

Required Disciplines:

  • Business, Meeting and Convention Planning, or a related field

  • At least 2-4 years experience in the hospitality field.Experience working with diverse volunteers, customers, and donors is required. Any equivalent combination of experience, education, and/or training approved by Human Resources.

Working Conditions: Climate controlled office environment during normal business hours.

Hours:  Normal business hours and some additional hours may be required.  The candidate must have the ability to work late hours, weekends, as requested.

Travel Required: Some traveling is required.
