Foundation Event Administrative Coordinator

Description

This position functions as a resource for OV’s Resource Development and events staff assigned to perform administrative and event oriented tasks and accounting tasks, surrounding daily operational functions and event execution. As the Foundation Event Administrative Coordinator you will be responsible for accounting for the Foundation’s business and for coordinating with the Business Office all of the department outcomes. This is a unique position that marries customer service, accounting and event coordination knowledge, skills and abilities..

  1. Daily cash deposit, logging and verification of all receipts.

  2. Log all deposits in the deposit spreadsheet including coding and brief description of the deposit.

  3. Maintain control over cash funds in the office and at all special events.

  4. Provide check copies to event managers

  5. Log all expectations with help of event managers – track and follow

  6. Assist Donor Database Manager with creating monthly management reports for cash, in-kind and pledges/commitments for review with Resource Development Department and reconciliation with Great Plains. Assist the Senior Staff Accountant to reconcile to the general ledger.

  7. Code and process accounts payable invoices and check requests

  8. Generate invoices with the direction of the Event Coordinator and set all invoices up in QuickBooks

  9. Review invoices processed for payment for proper coding, approvals and support.

  10. Prepare preliminary and final financial reports on special events with the Senior Staff Accountant.

  11. Generate Thank you letters within 24 hours of donation, including on-line donations

  12. When deposit is complete call all donors to thank them for their donation and make them aware that their check has been received

  13. Compile event summaries including 3 year comparisons as directed

  14. Supervisor check-in at events and troubleshoot if necessary.

  15. Responsible to make sure that there is a finance person present at all events.

  16. Prepare “Office in a Box” for events, including securing all credit card machines.

  17. Schedule all committee meetings and confirm with committee members their attendance.

  18. Keep on top of outstanding invoices from events with help of event manager, re-invoice if necessary.

  19. Track all in-kind donations including track all items booked and follow up on items not booked with all event managers

  20. Send out yearly asks for paper, porta potties, any reoccurring ask, we should only send out one not several throughout the year.

  21. Maintain organized files of: deposit backup, payables, in-kind donations, capital campaign pledges, legacy society, trusts and event related documents

  22. Performs other duties as assigned.

 
Position Requirements

REQUIREMENTS
• Initiative in prioritizing and sense of urgency
• CRM Knowledge
• Great Plains General Ledger Knowledge
• Microsoft Office Word and Excel
• 10 key typing experience

EDUCATION AND EXPERIENCE

• Bachelor's Degree in Business or related field and/or 5 years of general accounting experience.
• Donor database management experience preferred.

ABILITIES

• Ability to sit for long periods at a computer, and periodically move about the office to operate miscellaneous office equipment.
• Respond to common inquiries or complaints from customers, regulatory agencies or vendors of the business community
• Effectively present information to top management.
