SUMMARY

The Payroll Specialist is responsible for the accurate delivery of biweekly payroll services including recordkeeping and reporting.  Performs all activities necessary to process the company’s multi-state payroll using ADP Workforce Now portal in a timely and accurate manner.      

ESSENTIAL FUNCTIONS

  • Responsible for the preparation and processing of the biweekly payroll for all employees using ADP Workforce Now.
  • Ensure timely and accurate calculation of approved timesheets, deductions, taxes, etc.
  • Review and approve pay calculations with respect to all new hires, terminations, retro increases, etc. as well as any updates to payroll records for exemptions, savings deductions, and bank account changes.
  • Coordinates with ADP the set up and maintenance of new state and local municipalities for reporting requirements.
  • First point of contact for any questions pertaining to PTO or Floating holiday balances as well as any questions regarding employee’s paychecks.
  • Prepares and maintains standard and ad hoc reports by compiling summaries of earnings, taxes, deductions, leave, disability, levies, garnishments, and nontaxable wages.
  • Maintains payroll guidelines by writing and updating policies and procedures.
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Performs other duties as assigned by Director of Accounting or VP of Finance and Accounting
 
Position Requirements

Knowledge, Skills and Abilities

  • Proficient with Microsoft Word, Excel  and other applications in the Microsoft Office suite
  • Effective interpersonal, communication and organizational skills required. 
  • Exemplary customer service skills required.
  • Ability to work with and apply mathematical and accounting principles.
  • Ability to problem-solve in an effective manner.

EDUCATION and/or EXPERIENCE

  • 3-5 years of payroll experience required
  • Certified Payroll Professional (CPP) certification preferred
  • Multi-state payroll experience required
  • Associate’s Degree in Accounting or a related field, is a plus
  • Experience in processing payroll through ADP preferred
  • Great Plains experience is a plus

  • Able to sit, stand, kneel, walk, and reach.
  • Able to lift, push, pull, and/or move up to 20 pounds.
  • Hear well enough to communicate with others.
  • Read a computer screen and written material.
  • Write, type, and use phone system.

WORKING CONDITIONS:

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • Good working environment with the absence of disagreeable conditions. 
  • The noise level in the work environment is usually moderate.
