Summary:  The Executive Administrative Assistant  will provide high-level confidential administrative support to executive members of the organization and handle a variety of administrative and clerical tasks including but not limited to conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements and scheduling meetings.

Essential Duties and Responsibilities:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Essential duties and responsibilities include the following:

  • Maintain executive calendars, coordinate/schedule meetings and make travel arrangements.
  • Arrange conference calls, screen incoming calls and correspondence and responds accordingly.
  • Liaison to the Board of Directors, record, transcribe and distribute minutes and resolutions of assigned Board Committee Meetings, and Team Meetings
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
  • Acts as custodian of corporate documents and records.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Directs preparation and filing of corporate legal documents with government agencies to conform to statutes.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • Creates and maintains database and spreadsheet files.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.

Other Responsibilities:

Perform other related duties as required or assigned that are in the spirit of this job description and position as necessary for the Bank and the Department to function effectively.

Supervisory Responsibilities:

This job has no supervisory responsibilities.

Education/Experience:

Associate's degree (A. A.) or equivalent from two-year college or technical school; five years of related experience and/or training; or equivalent combination of education and experience.

To perform this job successfully, an individual should have knowledge of Windows, Microsoft Office, Word Processing software; Spreadsheet software and Database software.
