Job Title:  Facilities Coordinator

Employment Status: Full-Time

Job Summary: Under limited direction, uses knowledge in facilities maintenance and skills obtained through experience, training or certification to maintain ACCESS properties and coordinate safety & emergency preparedness programs, to include scheduling preventative maintenance, service and repairs of the facility. Leads defined work or projects of moderate scope and complexity. Incumbent is responsible for the overall presentation of the building, maintaining a professional environment, ensuring the 100% readiness of critical systems and services, and responding to urgent maintenance calls. In addition, incumbent is involved in the development, implementation, and communication of organizational safety policies, programs, and procedures.

Essential Duties and Responsibilities:

  • Promotes policy for facility standards and ensures compliance throughout the facility through routine inspections and work order creation and completion.
  • Maintains environmental conditions so they are acceptable for the safety and comfort of ACCESS employees and visitors.
  • Assist facilities staff in locating parts, supplies, and materials.
  • May provide professional services for all facilities such as space planning, improvement cost estimating, scheduling and implementation.
  • Coordinate facilities related projects and ensures successful and timely completion.
  • Responsible for proactive compliance with safety regulations (OSHA).
  • Balances conflicting resource and priority demands.
  • Oversees management of ACCESS Fleet, drivers, reservation calendar and vehicle maintenance.
  • Maintains currency in building maintenance and repair, safety regulations and emergency management planning.
  • May lead the work of others and provides training in building maintenance and repair processes.
  • Operates standard office equipment and uses required software applications.
  • Performs other duties and responsibilities as assigned.
 
Position Requirements

Knowledge, Skills, and Abilities:

Knowledge of:

  • Basic concepts, principles and practices of estimating, scheduling, budgeting/cost control, field supervision, financial reporting, end user relationship, interpersonal skills, computer skills and safety/insurance.
  • Building maintenance: activities required to repair, upgrade, and prolong the life of equipment.

Skill in:

  • Operating standard office equipments and using required software applications, including Microsoft Office Suite.
  • Must have strong interpersonal skills and ability to work in a team environment.
  • Responsibility for follow-up on actions based on various team projects.
  • High organization skills in managing multiple projects simultaneously.
  • Ability to perform and manage technically complex projects using independent judgment and personal initiative.
  • Build strong internal and external relationships using effective verbal and written communication skills.
  • Recognize and act on opportunities; adjust direction when situation warrants
  • Work independently without regular direct supervision.
  • Must be a provider of excellent customer service

Ability to:

  • Partner with other functional areas to accomplish objectives.
  • Facilitate meetings, ensuring that all viewpoints, ideas and problems are addressed.
  • Interpret and apply policies and identify and recommend changes as appropriate.
  • Organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment.
  • Communicate effectively, both orally and in writing.

Educational/Previous Experience Requirements:

  • Minimum Degree Required:
  • Associate’s Degree

  • At least two years of responsible experience in building systems and maintenance, grounds and custodial services.  Any equivalent combination of experience, education, and/or training approved by Human Resources.

Working Conditions:

Hours:            Normal business hours.  Some additional hours may be required.

Travel Required: local travel required
