Description

ACCOUNTABILITY:

Broad position responsibilities will include being accountable under direction for the day-to-day functions related to administration of projects towards ensuring on time performance, superior quality and profitability. Be a secondary point of contact for customers, Natpro’s internal organization, Represented Manufacturers, vendors and suppliers as they relate to projects.
 

PRIMARY DUtIES OF RESPONSIBILITY:

  • Develop and maintain a superior knowledge of ERP computer systems, specifically Prophet 21
  • Enter new orders in Prophet 21 system, release purchases and conduct a weekly review of priorities and progress on open project orders
  • Provide reports indicating monthly status of orders
  • Prepare, update and maintain order documentation files both electronically and physically
  • Communicate with both the internal and external customers, and guarantee customer satisfaction by ensuring deadlines for deliveries are met

Project Handover Administration

Project Set-Up

Vendor Document Requirement (VDR)

  • Prepare and maintain the order documentation files both electronically and physically
  • Coordinate, monitor and update Client requests for orders and revisions of documentation
  • Compile all documents in the Vendor Document Requirement and prepare Final Data Book (FDB) or the Manufacture Record Book (MRB) and send to the client in a timely manner

Bill of Material and Routing Set-Up

  • Create customized items and populate these and standard items into a Bill of Material (BoM)
  • Create Routings in ERP for the production team to understand scope of work for fabrication and assembly
  • Add new items to order as tasked by the engineer into ERP for an active SFC

Run Project Requirements Planning (PRP) and create demand for items on BoM

  • Coordinate with the buyer to order parts based on specifications by the Project Engineer

SFC (Shop Floor Control) Set-up

  • Create SFC package so that the shop can plan and commence work
  • Resolve discrepancies in ERP System to close the SFCs
  • Modify manpower hours requirement of the Production crew based on project

Monitor and Expedite

  • Monitor delivery of the items requested through proper coordination with the Shipping-Receiving Team.
  • Troubleshoot problems on specifications in product orders, delayed delivery and other concern
  • Conduct analysis and oversee administrative operation related to project planning and management process

Release drawings, SFCs and BoMs to the shop floor

  • BOMs, Routings, Drawings, hold points, Inspections, Forms, Special instructions

Complete SFCs and create packing slips

  • Ensure that the product is completed and put an order for the Shipping-Receiving Team to handle delivery
  • Prepare the packing slip for the product to be shipped

General Office Administration

  • Administer work priority based on deadline and Project Manager Instructions
  • Organize venue, materials, invitations and confirmations for meetings for the Project Team,
  • Take meeting minutes, review items from previous meeting and monitor action items for timely closure
  • Participate in annual inventory count

 

 

 
Position Requirements
  • Better than average computer skills, specifically Excel, Word and Outlook,
  • Background with ERP computer systems, specifically Epicor Prophet 21 is an asset
  • The ability to work on multiple projects, and prioritize while meeting deadlines
  • Excellent organizational skills, a self-starter who can work independently and as part of a busy team
  • Understanding of the concepts of how a business unit functions
  • Educational background in the administrative/project management field
