OVERVIEW:  This position supervises the medical clinic administrative support staff consisting of receptionists and medical records personnel. The Clinic Manager is responsible to ensure the proper maintenance of the clinic facility and equipment.  The Clinic Manager’s duty is to ensure the highest quality care for patients.

ESSENTIAL FUNCTIONS OF JOB:

  • Supports the clinic to achieve and carry out the Health Department’s Mission, Vision, and Values.

  • Participates in the selection, training and supervision of support staff which includes: Medical Records, Front Desk, and Benefits Coordinator.

  • Supervises reception staff, medical records staff and assists with oversight of LEHD facility maintenance staff.

  • Coordinates medical providers and complimentary services schedules with Nursing Manager.

  • Builds strong positive communication with Practitioner Staff and works as a team to enhance the success of the practice.

  • Performs general support staff duties.

  • Works closely with medical staff to ensure quality patient care and services are provided.

  • Ensures the Clinic operates in a reliable, consistent and professional manner.

  • Reports and coordinates with other supervisors to assure appropriate facility maintenance and custodial needs are required.

  • Participates in Quality Assurance (Q.A.) practices and meetings.

  • Participates in Health and Safety practices and meetings.

  • Serves as the Privacy Coordinator for LEHD

  • Assists in developing policies and procedures per AAAHC, CMS, OSHA, HIPAA and other regulatory rules the LEHD is required to follow.

  • Assists in the establishment/implementation of goals, objectives, policies and procedures and systems for all operational areas of the clinic.

  • Assists in the development and implementation of short and long range plans.

  • Evaluates clinic performance relative to scheduling, call volume, timeliness, and chart updates.

  • Assures effective operations relative to communications, supplies, property maintenance, infection control, and periodic maintenance schedules.

  • Serves as a liaison between clinic and external agencies.

  • Maintains the strictest confidentiality.

  • Responsible for assuring customer/patient satisfactions surveys are completed and plays a role in monitoring patient service feedback and contributes to the process of resolving complaints and service issues.

  • Is proactive in assuring all members of the team she/he is responsible for including self, is current in trainings as required AAAHC, CMS, OSHA and other regulatory bodies. Attends trainings as required/requested to advance knowledge and skills that support personnel growth as it relates to job functions and the Mission, Vision, Values of the LEHD.

 
Position Requirements

MINIMUM QUALIFICATIONS:

  • High school diploma or GED.

  • Supervisory experience and/or two or more years working in a health clinic environment

  • Knowledge of clinic operations to include medical records, receptionist, benefits coordinator responsibilities and recordkeeping.

  • Ability to provide training to medical records, medical receptionist and benefits coordinator staff.

  • Proficiency with computers and basic computer software.

  • Medical terminology knowledge/experience.

  • Strong organizational skills including staff coordination for meetings, client and staff scheduling.

  • Ability to work as a team member with other office personnel.

  • Ability to maintain and respect strict confidentiality.

  • Ability to maintain friendly, courteous and respectful manner in all patient and staff encounters.

  • Ability to read, understand and follow oral and written instruction.

  • Ability to operate computers, fax machines and telephones.

  • Current BLS card.

  • Ability to prioritize and work under deadlines.

PHYSICAL REQUIREMENTS:

  • Requires standing, sitting, stooping and bending intermittently

  • Requires ability to life 30 lbs.

  • Requires ability to see/understand colors, alpha and numerical chart systems and have visual acuity.

  • Requires ability to hear and understand verbal instructions.

  • Requires use of standard office equipment such as computers, telephones, fax machines and photocopiers.

OTHER CONSIDERATIONS:

  • Experience with RPMS and other I.H.S. software.

  • Experience with Tribal clinic and knowledge of I.H.S. policies.

As with all positions of the Lower Elwha Klallam Tribe this position is Indian Preference in hiring, in Accordance with P.L. 93-638.
