What We Are Looking For

NCU is currently seeking a highly skilled and organized professional to act as an Executive Assistant supporting our Executive Team.

The Executive Assistant will provide a high level of professional administrative support to one or more C-level executives through detailed communications, management of schedule and travel, coordination of projects, and other tasks as assigned. The Executive Assistant must effectively work with internal and external customers with a high level of care, confidence, and confidentiality.  This position requires performance of administrative tasks to be effective and efficient while utilizing excellent process management skills that continuously improve the executive’s office.  

The successful candidate will exhibit competence in the role, possess strong communication skills, maintain confidentiality, and solid interpersonal and organization skills.

 
Position Requirements

Essential Job Functions

  • Perform advanced, varied, and confidential administrative duties requiring executive level administrative skills.  This includes, but not limited to, calendar and correspondence management, board meeting preparation, preparation and processing of purchase card (p-card) and expense reports, etc.
  • Create and edit effective university documents and presentations
  • Manage the operation of the executive’s office.  Serve as an advisor and confidant by being prepared, informed, and able to address/provide a response on a variety of issues
  • Supervise other administrative support and facilities staff
  • Lead the preparation and implementation of events; make arrangements for official visits and meetings of the Board, legislators, and other University stakeholders
  • Serve as the administrator for the University’s travel and purchasing systems
  • Be a participative and supportive team member of the administrative team; serve as backup to the receptionist and facilities (when needed)

Approximate work hours may extend from 7:30 am to 6 pm (some weekend and evening work will be required) and must be willing to be accessible after hours.

Knowledge, Skills and Abilities

  • Advanced computer skills with MS Office including Word, PowerPoint, Excel, Outlook and Visio
  • Exceptional interpersonal skills; flexibility; initiative and self-direction with a high level of energy and enthusiasm
  • Outstanding customer service and oral and written communication skills
  • Integrity, sound judgment, maturity of presentation
  • Excellent project management skills
  • Demonstrated ability to improve processes and keep thorough documentation
  • Ability to work effectively in varied professional, socio-economic and cultural contexts
  • Ability to attend to details and decision-making under high-pressure situations
  • Willingness and ability to accept frequent direction from various leaders within the university.
  • Prior experience using concur travel system, preferred

Education and Experience

  • Bachelor’s degree, or equivalent experience
  • 10 plus years of experience supporting C-level executives in a fast paced and continuously changing environment
  • Experience working and interacting with executive staff, high-ranking officials and boards
  • 3-5 years management experience

Supervisory Responsibility

This position has supervisory responsibility for members of the administrative staff.

  • Sit, stand, kneel, walk and reach
  • Be able to lift, push, pull and/or move up to 20 pounds
  • Read a computer screen and written material
  • Write, type and use phone system
