JOB TITLE: Admin/ Finance Assistant

GROUP: Administration

SUPERVISOR: Operations Supervisor

SALARY: $25/hr.

ACCOUNTABLE TO: Operations Manager

SCOPE OF WORK: The Urban League of Portland’s Admin/Finance Assistant provides administrative and operational support to the Finance and Administrative team. The position is fully responsible for a variety of day-to-day admin/ financial tasks, most importantly the organization’s procurement process, and other tasks such as filing, data entry, and reconciliation. The Admin/ Finance Assistant is an integral part in making sure our internal operations are running efficiently and accurately.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist and follow the complete procurement process making sure all Purchase Authorizations are complete, all purchases are made on time, track all purchases, and make sure all equipment, services are well accounted for and inventoried.
  • Compiling, maintaining, and updating company records
  • Managing the correspondence between Admin and external vendors, clients or other third parties
  • Compiling and maintaining records of Admin and Finance business transactions
  • Manage and oversee the agency’s inventory making sure every asset is accounted for and tracked through the inventory schedule
  • Prepare the monthly credit cards packages for review
  • Maintains and organizes all Vendor Files and documents
  • Regularly checks and maintain record of necessary office supplies
  • Communicate regularly with staff to help produce needed items and/ or reports
  • Scan and File Admin and Finance documents as needed
  • Assist in data entering deposits, budget, and other transactions into the Accounting Software
  • May assist with mail distribution, answering telephones, and other clerical tasks as needed
  • Performs other related duties as assigned

EDUCATION AND EXPERIENCE:

  • Associate’s degree in related field required.
  • Prior related office experience preferred.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
