Description

GENERAL PURPOSE OF POSITION: The ministry teams of Ministerial Excellence, Support & Authorization and Congregational Vitality and Discipleship seek a shared Administrative Assistant. The Administrative Assistant will report to both of the Team Leaders and serve as a liaison to the programmatic and administrative staff on both teams.  

Looking for someone with demonstrated new technology skills and experience with online networking, webinar, and smart board.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

-Participates in the development, implementation and support of the overall program and mission of Ministerial Excellence, Support & Authorization and Congregational Vitality and Discipleship.

-Provides administrative support and assistance to the Team Leaders and assists the Team Leaders in the overall coordination and oversight of the ministry teams, including:

-Maintain calendar of meetings, activities and engagements of the Team Leaders and of the Ministry Teams as a whole.

-Make meeting and event arrangements for meetings and events convened by the Team Leaders (including meetings of the entire ministry staff team, coordinator meetings, etc.)

-Keep official minutes from at staff meetings and events.

-Open, read, sort, refer and answer email & other correspondence addressed to the Team Leaders or the team as a whole.

-Assist the Team Leaders in reviewing and processing approved payments for all check requisitions and invoices.

-Answer and screen phone calls, relay messages, and respond to inquiries as necessary.

-Make travel and housing arrangements as necessary.

-Assist with meeting and event arrangements for office and its staff as appropriate.

-Create and maintain databases, mailing lists and filing system.

-Monitor, maintain and order supplies and resources for the office.

-Maintain appropriate confidentiality with regard to all communications on behalf of the Team Leaders.

-Provides technological assistance to enhance the ministry of both PLL and CVD including but not limited to monitoring social media, administering demographic web tools, setting up conference calls, webinars and on-line learning programs.

-Promote the program's positive public image by responding in writing and orally on a timely basis to inquiries for information, accepting speaking engagements, and serving as a resource.

-Contribute to the effectiveness of both ministry teams by fostering a spirit of cooperation and accomplishing assigned tasks.

-Provide administrative support to Program staff members in conjunction with the MESA and CVD administrative pool.

-Other responsibilities as assigned.

 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of knowledge, skills and/or abilities required to perform successfully in this position.

- High school diploma or equivalent with 3-5 years of demonstrated administrative experience.  

- Appreciation and knowledge of the United Church of Christ polity, structure, and mission.

-Desire and sensitivity to work in diverse racial, ethnic, cultural and religious settings with a commitment to diversity in the workplace as well as in one's understanding of mission.

-Demonstrated ability to work collaboratively and collegially as well as independently.

-Ability to travel when administrative staff is needed in support of meeting/events (i.e. General Synod etc.)

-High Degree of Computer competence and ease with adapting to new technology, including proficiency and accuracy in word processing and data entry; experience with desktop publishing software and/or database design and creation a plus.

-Demonstrated experience in social media, web based tools, and on-line communication.

- Excellent editing and proofreading skills, including excellent grammar.

-Must be a self-starter with the ability to prioritize work and to perform with minimum supervision.

-Ability to prioritize work and perform as a member of a collaborative staff team.

-Strong understanding of the need for confidentiality and discretion in human relations skills.
