SUMMARY: The Pod Clerical Specialist is an essential member of the family medicine health care team, assisting with patient flow and service and contributing to patients’ positive experiences in the clinic. The Pod Clerical Specialist has responsibilities directly influencing patient care and is expected to contribute to the team’s overall effectiveness and efficiency. Under the direct supervision of the Office Manager, and working in collaboration with other members of the pod (health care team) the Pod Clerical Specialist has duties that span technical skills and interpersonal abilities, maintaining a positive experience for patients and staff alike.

ESSENTIAL DUTIES AND RESPONSIBILITIES: As an integral member of the pod/health care team, this position will work independently at times and directly with teammates at other times. Teams consist of the Pod Clerical Specialist, Family Medicine Providers, Registered Nurses, Medical Assistants, Behavioral Health Clinicians and Case Managers and other clinic resources.

  • Welcomes patients and visitors to the pod, answers questions about clinic services and flows, assists to meet patient and staff needs, and begins the processes related to the patient visit with other members of the health care team.
  • Monitors the flow of patients into and within the team, facilitating efficient movement and timely delivery of needed and expected services.
  • Provides patients with information about services, follow-up processes, internal referrals and schedules appointments and follow-up appointments in person and by telephone.
  • Collects, verifies and enters patient data, updates electronic health record files; assures completeness of data being collected and entered.
  • Takes telephone calls, routes calls and takes messages; responds to and routes calls based on patient need and clinic protocols.
  • Maintains cleanliness of workspace and waiting area, maintains inventory and orders supplies as needed.
  • Monitors patient and visitor behavior in waiting area and responds or seeks assistance as appropriate.
  • Participates in Open Door Quality improvement activities, meetings, and initiatives.
  • Adherence to ODCHC policies and protocols.
  • Other related duties as identified and assigned by supervisor.

 

QUALIFICATIONS: The successful candidate will demonstrate an attitude and commitment to facilitating positive patient experiences, facilitating patient care and working efficiently and collaboratively with other members of the pod/health care team:

  • Strong interpersonal skills and ability to establish constructive working relationships with multiple constituent groups, including patients, other support staff, providers and clinic leadership.
  • Strong computer experience and ability to learn specific computer applications, including practice management system, electronic health record system, email and other common software.
  • Ability to handle difficult or confrontational situations in a calm, consistent and equitable manner.
  • Ability to read and interpret documents and notes, follow directions and compose basic correspondence.
  • Confident, courteous and efficient manner when making telephone calls and talking with patients, families and others as necessary.
  • Ability to remain calm, multi-task and set priorities when presented with simultaneous demands for attention.
  • Ability to keep records accurately; ability to describe and document in-person and telephone conversations, unusual events and other occurrences as necessary.
  • Ability to read, speak and understand Spanish or Hmong an additional asset.

SUPERVISORY RESPONSIBILITIES: This is a non-supervisory position; however, the Pod Clerical Specialist works with and needs to be aware of the activities of a variety of people within the health care team.

EDUCATION AND EXPERIENCE: It is essential that candidates be able to demonstrate both technical skills and strong interpersonal skills:

  • High School Diploma or GED required.
  • Previous related experience, including receptionist, customer service and other jobs having interpersonal and clerical responsibilities.

SUPERVISION AND SUPPORT: The Pod Clerical Specialist reports to the Office Manager (Family Medicine) who will oversee the daily activities of this position. The Pod Clerical Specialist may receive requests and delegated activities from other members of the pod/health care team.

PHYSICAL REQUIREMENTS: This is largely an office-based position. The physical requirements described are representative of those needed to successfully perform the essential duties of the position. Reasonable accommodation will be made to allow otherwise qualified candidates to perform these functions.

  • Speaking and hearing sufficient to communicate effectively by telephone, video or in-person at normal volumes.
  • Vision adequate to read documents, computer screens, forms and designs and to differentiate colors as necessary.
  • Ability to move around the pod and the clinic as necessary.
  • Ability to sit or stand for extended periods of time.
  • Ability to use keyboard and view computer screens for extended periods of time.

Hiring Range $19.20 to $23.03
