SUMMARY: Under the direct supervision of Operations, the Referral Department Manager is responsible and accountable for all daily operations of Open Door’s centralized Humboldt County Referral Department (HCRD) and Referral Coordinators under their supervision. This position, in accordance with ODCHC’s policies and procedures is responsible for overseeing staffing, facilities, and equipment with a focus on providing quality, timely, patient centric, cost-effective referral coordination. The Referral Department Manager works collaboratively with Operations, Providers, Patients, Specialists, and other staff while maintaining a supportive, caring, knowledgeable, and efficient manner.

 

Position Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • In collaboration with the Director of Clinical Support Services, establishes objectives and operational goals for this department.
  • Works collaboratively with Patients, Providers, Care Teams, Administration, and Operations to optimize patient referral coordination. Identifies problems related to patient referrals, and makes recommendations for improvement.
  • Maintains up-to-date and accurate knowledge of referral resources, programs, and policies. Works with Referral Coordinators to maximize resources for patient referrals.
  • Contributes to creating and maintaining written referral protocols and ensures referral department maintains accurate and up to date knowledge of workflows.
  • Is responsible for recruitment, training, annual evaluations, on-going performance feedback and when necessary, dismissals of Referral Coordinators. Monitors job performance, patient advocacy, teamwork, and productivity. Gives prompt constructive feedback and coaches towards resolution when necessary. Ensures annual evaluations are completed in a timely manner. Exercises authority in all HCRD hiring and dismissals, with advice and consultation from Human Resources.
  • Oversees department staff training, attendance, ergonomics, competencies, and job performance. Performs quality control, audits referral work queues to ensure timely and accurate referral processing and documentation.
  • Receives complaints and works to resolve problems in accordance with established ODCHC policies and procedures. Engages to resolve problems or complaints about referral processes and/or personnel. Reports unresolved problems to the Operations Team.
  • Conducts weekly huddles and team meetings with HCRD Referral Coordinators for feedback, goal setting, information gathering and problem solving.
  • Maintains ongoing communication between the Referral department and ancillary departments by attending meetings and coordinating interdepartmental operations.
  • Maintains inventory and orders supplies. Oversees the department facility. Makes cost effective decisions.
  • Effectively represents ODCHC’s interests in the community and is a liaison between the Referral department and Speciality Providers.
  • Demonstrates, facilitates and promotes effective and caring communication.
  • Adherence to all applicable ODCHC polices and protocols as well as local, state, and federal laws and regulations.
  • Performs all essential duties/requirements of a Referral Coordinator as needed.
  • Other duties and responsibilities as identified and assigned.

 

QUALIFICATIONS AND EXPECTATIONS:

  • Excellent interpersonal skills, written and verbal. Ability to establish constructive working relationships with all levels of employees in a staff of varied and diverse backgrounds.
  • Ability to work as a member of a team in order to solicit input from other affected departments or individuals, communicate pertinent information to other team members, and support team decisions.
  • Ability to supervise others and delegate effectively.
  • Ability to handle difficult or confrontational situations in a calm, consistent, and equitable manner.
  • Ability to read and interpret documents, and writes memos and routine reports.
  • Ability to calculate figures and amounts needed to take and receive patient payments.
  • Computer skills, including facility with databases, spreadsheets, and word processing software.
  • High school diploma or GED.
  • 2-3 years’ experience as a Referral Coordinator in a medical or business setting.
  • Previous experience as supervisor.

 

SUPERVISORY RESPONSIBILITIES: Responsible for training, evaluating, and initiating disciplinary action for all employees supervised.

 

 

Wage Range Hiring Range $26.15 to $32.00
