SUMMARY: The Clinical Services (CS) Coordinator supports the Director of Clinical Services (DCS) and Clinical Services Manager (CSM) with Open Door Community Health Centers (ODCHC) vaccine program, ensuring that the program is operating efficiently and effectively. The Clinical Services Coordinator also assists with training, supporting, and monitoring medical assistants at all ODCHC sites to ensure proficient skills and high-performing, cohesive care teams.

 

Position Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for tracking and data entry related to vaccine and special programs, including inventory management, vaccine ordering, weekly temperature logs, temperature excursions, and Lot Manager data.
  • Collects vaccine and special project information from the health centers, such as inventory and logs sheets, and data.
  • Assist sites with vaccine processes through resources, education, and instruction and supports Vaccine Coordinators with transporting, ordering, storing, administration, documentation, and excursion events.
  • Assist Director and Manager of Clinical Services with the creation and revision of clinical services policies, SOPs, and workflows.
  • Assess MA skills level and develop training in partnership with the Manager of Clinical Services; also develops training, including onboarding for new MAs and RNs, MA Skills Fair, injection training, supplemental site-specific requests, organizational initiatives, etc.
  • Works with Clinical Services team and Population Health Managers and Specialists on outreach and special projects, such as Well Visits & Immunizations, Adult Immunizations, Cancer screenings, Diabetes, Hypertension, etc.
  • Responsible for ensuring that updated information and materials are posted and available on the web portal, shared drive, etc.
  • Routes Clinical Services Department calls and takes messages. Answers health center inquiries or routes question/issues to CSM & DCS and/or other departments as needed.
  • Assists health centers with patient care as an MA within the clinical setting as needed and within MA Scope of Work.
  • Other duties and responsibilities as designated by supervisor.

 

QUALIFICATIONS AND EXPECTATIONS:

  • Strong interpersonal skills and the ability to establish constructive professional working relationships among a diverse workforce.
  • Ability to work as a member of a team and independently as needed.
  • Ability to manage time and be flexible with working at different sites.
  • Strong computer skills with specific aptitude in Microsoft Office Suite and/or Electronic Medical Records (EMR).
  • Confident public speaker; must be able to present training material to small groups.
  • Valid CA Driver’s license and current vehicle insurance; must have the ability to travel between sites
  • Familiarity with resources in the ODCHC service area preferred.
  • Experience ordering vaccines within Vaccines for Children preferred.
  • Ability to effectively represent ODCHC’s interests in the community and maintain effective working relationships among coworkers, public, private, and professional groups.
  • Adheres to ODCHC’s policies and procedures.

 

EDUCATION and/or EXPERIENCE:

  • Certificate of completion from a Medical Assistant training program or equivalent work experience or Certificate in Vocational Nursing.
  • Two years as an MA/LVN within ODCHC preferred.
  • Ability to complete all annually required competencies as outlined by ODCHC.

 

CERTIFICATIONS and LICENSES:

  • Current/Active Certification as a Medical Assistant or Vocational Nurse License in the state of California preferred. Expectation is that Certification is acquired within 90 days of hire.
  • Current Basic Life Support (BLS)/Cardiopulmonary Resuscitation (CPR) Certification.

 

SUPERVISORY RESPONSIBILITIES: None.

 

SUPERVISION AND SUPPORT: The Clinical Services Coordinator reports to the Clinical Services Manager who oversees the daily activities of this position. The Clinical Services Coordinator will also work with managers and subject matter experts from multiple ODCHC sites and departments.
