Description

The Lead Receptionist is responsible for the overall day to day supervision of the front desk functions. In addition, the Lead Receptionist acts as the liaison between providers, patients and other staff, while maintaining a supportive, caring and efficient manner.

 

Position Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Must be able to meet and carry out all the Medical Receptionist duties and responsibilities.

  • Prepares and maintains front desk area and the lobby for business.

  • Provides payment and collection data as required.

  • Works with Office/Clinic Manager and with providers to optimize patient care and provider productivity.

  • Oversees the creation of new employee charts.

  • Oversees the postage meter and mail distribution, both inter-office and external mail received.

  • Ensures front office operations are completed correctly on a daily basis.

  • Conducts monthly meetings of front desk personnel for information gathering, in-service, and problem solving as needed.

  • Contributes to current procedure manual and maintains current and accurate knowledge of all ODCHC programs and policies.

  • Ensures that all front desk staff maintains familiarity with programs and policies.

  • Periodically monitors, and reviews all front office policies and procedures with Office/Clinic Manager.

  • Responsible for training new front desk staff.

  • Reports unresolved problems to Office/Clinic Manager.

  • Oversees front office supervision in Office/Clinic Manager’s absence.

  • Attends meetings as appropriate.

  • Adherence to ODCHC attendance policy.

  • Other duties and responsibilities as designated by supervisor.

     

    QUALIFICATIONS:

  • Excellent interpersonal skills, written and verbal.Ability to establish constructive working relationships with all levels of employees in a staff of varied and diverse backgrounds.

  • Ability to work as a member of a team in order to solicit input from other affected departments or individuals, communicate pertinent information to other team members, and support team decisions.

  • Ability to supervise others and delegate effectively.

  • Ability to handle difficult or confrontational situations in a calm, consistent, and equitable manner.

  • Ability to read and interpret documents; ability to write memos and routine reports.

  • Ability to keep records carefully and accurately.

  • Ability to calculate figures and amounts needed to take and receive patient payments.

  • Computer skills, including facility with databases, spreadsheets, and word processing software.

     

     

 

EDUCATION and/or EXPERIENCE:

  • High school diploma or GED.

  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

  • One to two years experience as a supervisor in a medical or business setting.

     

     

    SUPERVISORY RESPONSIBILITIES:

  • Responsible for training, evaluating and initiating disciplinary action for all employees supervised.

     

     

    PHYSICAL REQUIREMENTS:

  • Speaking and hearing sufficient to communicate effectively by phone or in person, at normal volumes.

  • Vision adequate to read correspondence, computer screen, and forms.

  • Good manual dexterity.

  • Ability to sit or stand for extended periods of time.

  • Ability to use keyboard and view computer screen for extended periods of time.
